Signature Events Coordinator

The Signature Events Coordinator will plan and execute all elements of Kemp Care Network (KCN) events. They will foster relationships with employees (workers), sponsors, suppliers, and volunteers by implementing strategies to help minimize risk, reduce expenses and enhance the participant, volunteer and sponsor experience while supporting the fundraising objectives of KCN.

DUTIES

  • Collaborating with internal teams and external partners to ensure event elements are delivered on time, result in increased revenue, and communicating important program information to relevant employees (workers).
  • Develop and manage event plans from conception to completion, ensuring all details are addressed.
  • Support operational elements of the development team including the planning, production and delivery of event materials, track expenses and gift-in-kind balances, and ensuring adherence to contractual obligations.
  • Highly detail oriented with exceptional organizational and time management skills and the ability to work well under pressure.
  • Excellent verbal and written communication skills and proven interpersonal skills, including presentation and facilitation skills.
  • Proficiency in Microsoft Office Outlook, Excel, Word and PowerPoint.
  • Coordinate with vendors, including catering services, venues, and entertainment providers.
  • Negotiate contracts and pricing with vendors to secure the best possible deals.
  • Implement effective event marketing strategies to promote events and increase attendance.
  • Manage event budgets, tracking expenses and ensuring adherence to financial guidelines.
  • Provide exceptional customer service throughout the planning process and during events.
  • Oversee on-site event management, ensuring everything runs smoothly on the day of the event.
  • Collaborate with team members to brainstorm ideas for new events and enhancements to existing ones.
  • Utilize time management skills to prioritize tasks effectively in a fast-paced environment.
  • Gather feedback from clients post-event to assess satisfaction and identify areas for improvement.

QUALIFICATIONS

  • Post-secondary education in fundraising/events planning or a combination of education and work experience.
  • Proven ability to accomplish goals and establish priorities with minimal direction.
  • 5+ years of experience in similar or related positions.
  • Demonstrated ability to exercise a donor-centered approach, sound judgement and diplomacy when dealing with a variety of stakeholders.
  • Strong organizational skills with an ability to manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal, with a focus on customer service.
  • Experience in budgeting and financial management related to events.
  • Familiarity with marketing strategies specific to event promotion.
  • Ability to upsell services effectively while maintaining client relationships.
  • Strong negotiation skills with a keen eye for detail when reviewing contracts.
  • A background in guest services or hospitality will be beneficial.

  • Proven ability to innovate and implement new ideas to improve internal processes, participant experience and increase fundraising revenue.
  • Understanding and successful demonstration of skills of special event operations as a component of fundraising events and an overall community giving model.
  • Experience working with volunteers.

KEY RESPONSIBILITIES

  • Supported by the Senior Director of Development, the Signature Events Coordinator is responsible for the planning and execution of all KCN-branded events as assigned.
  • Liaising with internal and external stakeholders for events, establishing best practices and overseeing the collection and submission of event day revenue
  • Providing updates to the Development team and other departments on any changes that may impact timelines, quantities and/or volunteer, sponsor, or supplier expectations as it relates to event operations elements
  • Leading survey creation, execution, analysis and compilation of results for events to inform data-based decision making.
  • Collaborating with the Communications team as well as external partners on event operations deliverables
  • Identifying innovative opportunities to develop or enhance KCN event processes and providing support in updating and delivering tools and tracking documents, and leading meetings
  • Identifying and executing innovative ways to improve fundraising processes, participant experience and increase fundraising revenue using technology and building new and strengthening existing relationships with vendors.
  • Managing the preparation, approval, ordering, and tracking of all event materials
  • Preparing projections based on standard formulas while adhering to production timelines and budget
